File Prep Representatives are responsible for the quality control review of loan documents on all loans less than $250,000, ensuring compliance with lending regulations. Representatives are responsible for ensuring all loan documents were signed and returned after loan closing as well as preparing all files for document imaging, both consumer and commercial. These individuals serve as a support function to branches and other areas within Loan Ops to ensure loan files and documentation are complete after loan closing. Additionally, representatives verify maintenance input on the HMDA/LAR.

Essential Duties and Responsibilities
Quality Control of all loan documents for loans less than $250,000, verifying compliance with Reg Z, Reg B, HMDA, RESPA, and TRID.
Checking in signed loan docs, verifying that the Promissory note is signed, and checking for rescission as well as performing follow-up when issues arise
Comparing signed loan documents to file copies and ensuring all documents have been received
Communicating any missing items to branch officers and providing follow up information to other Loan Operations departments
Routing specific file items such as collateral perfection documents, promissory notes, and HMDA worksheets to various Loan Operations groups for further processing
Preparing all files/documents for imaging which includes inventorying files, organizing documents, adding bar codes, and preparing scan cover sheets for delivery to Document Imaging
Electronic importing of construction draws
HMDA/LAR verification
Perform other duties and projects as assigned
Understand and comply with all provisions of the Safety in the Workplace policy
Salary commensurate with experience.
Requirements
Minimum Qualifications of Position
- Prior Loan Experience
Preferred Qualifications of Position
Experience with loan documents and lending regulations
Knowledge and Skills
Ability to use Microsoft Office and various online applications and programs such as Document Imaging, LRMS, and CICS.
Strong attention to detail and organizational skills. Good verbal and written communication skills.
Ability to read, listen, comprehend, and communicate information in a clear, constructive and concise manner.
Ability to learn and comply with applicable regulations or bank policies
Ability to multi-task
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
Work is performed in an office environment with moderate noise levels and light to heavy traffic. An individual in this position:
Frequently remains stationary throughout a typical business day
Frequently operates a computer and other office machinery, such as a calculator, copy machine, and computer printer
Occasionally moves about inside the office to access file cabinets, office machinery, and other rooms
Occasionally positions self to access drawers and shelves of various heights
Frequently reaches for and handles paperwork and files
Constantly communicates with customers, coworkers, and management in-person and on the phone
Must be able to exchange accurate information
Work Hours Monday through Friday
